Providers
Providers are the clinicians, hygienists, and specialists who appear as bookable options on your scheduling widget. This page lets you manage their profiles, assign operatories, and control their visibility to patients.
Provider List
The main table shows all providers in your system:
| Column | Description |
|---|---|
| Display Name | The name patients see on the widget (e.g., "Dr. Kate" or "Gina RDH") |
| ID | Unique system identifier |
| Provider | Full legal name |
| Role | Dentist, Hygienist, Specialist, etc. |
| Operatories | Number of assigned treatment rooms (e.g., "8 Selected") |
| Edit | Opens the provider detail form |
Adding a New Provider
Click Add Provider to open the creation form. Fields marked with * are required.
Provider Details
- Display Name* — Patient-facing name on the widget
- First Name* and Last Name* — Used in internal records and templates
- Email* — Receives booking and cancellation notifications
- Phone Number — Optional contact number
- Role* — Select from Dentist, Hygienist, Specialist, etc.
- Operatories* — Assign the treatment rooms this provider works in
- Color — Pick a color for calendar visualization
- Provider Image — Upload a headshot for the booking widget
✅ Tip: Use short, friendly display names. "Dr. Amy" works better on mobile than "Dr. Amelia Richardson-Cho."
Editing a Provider
Click the Edit icon on any row to update a provider's details. All fields from the creation form are editable.
Use the Active toggle to temporarily hide a provider from the scheduling widget without deleting their data. This is useful for:
- Leaves of absence
- Schedule changes
- Providers who no longer take new patients
Operatory Assignments
Operatories link providers to physical treatment rooms. When a patient books, the system only offers time slots where both the provider and an assigned operatory are available.
Key rules:
- A provider can be assigned to multiple operatories
- An operatory can be shared by multiple providers
- Changes here immediately affect availability in Reasons for Visit
⚠️ Keep operatory assignments current. Outdated assignments cause scheduling conflicts and double-bookings.
